1. Introduction
Wovenhall is committed to handling personal information with care and transparency. This policy describes what information we collect, why we collect it, how we use it, and what rights you have in relation to it. It applies to all individuals who enquire about, register for, or attend Wovenhall's programmes and to visitors to our website at wovenhalling.pro.
If you have questions about this policy, please contact us at [email protected].
2. Information We Collect
We collect personal information in the following circumstances:
- Enquiry forms — name, email address, and optionally phone number and a written message
- Session registration — name, email address, phone number, and the number of attendees in your family group
- Website analytics — anonymised usage data (pages visited, session duration) via analytics cookies, if you have consented

We do not collect session content. What is said in a Wovenhall facilitated session is not recorded, transcribed, or stored. Written summary notes produced after sessions are shared only with the participating family and retained only with their consent.
3. Legal Basis for Processing
Under the Personal Data Protection Act 2010 (PDPA) of Malaysia, we process personal data on the following grounds:
- Consent — where you have given explicit consent, such as for marketing communications or analytics cookies
- Contract — to fulfil obligations arising from a programme booking or enquiry
- Legitimate interests — for internal record-keeping and service improvement, where those interests are not overridden by your rights
4. How We Use Your Information
- To respond to enquiries and provide information about our programmes
- To confirm and administer programme bookings
- To deliver written summary notes after sessions (where applicable)
- To contact you about scheduling, changes, or follow-up information relevant to your booking
- To send occasional communications about Wovenhall programmes, if you have opted in
- To improve our website and services, using anonymised analytics data
We do not use your personal information for automated decision-making or profiling.
5. Data Sharing
Wovenhall does not sell, rent, or share your personal information with third parties for marketing purposes. We may share information in limited circumstances:
- Service providers — third-party tools used for email communication, website hosting, or scheduling, under data processing agreements
- Legal requirements — where disclosure is required by Malaysian law or a valid legal order
We do not transfer personal data internationally outside of Malaysia except where required for the operation of cloud-based service providers, in which case we ensure appropriate safeguards are in place.
6. Data Retention
We retain personal information for the following periods:
- Enquiry records — 12 months from the date of enquiry
- Booking and session records — 3 years from the date of the session
- Feedback submissions — 2 years, anonymised after 6 months unless you have consented to named retention
- Analytics data — aggregated and anonymised continuously; not retained in identifiable form
After these periods, data is securely deleted.
7. Cookies
Our website uses cookies to support its operation and to understand how it is used. You can read more in our Cookie Policy. You may adjust your cookie preferences at any time via the settings on that page.

Under the PDPA 2010 and applicable data protection standards, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate or incomplete data
- Request erasure of your data, subject to legal retention requirements
- Withdraw consent for processing at any time (where processing is based on consent)
- Object to processing based on legitimate interests
- Request that we restrict processing of your data in certain circumstances
To exercise any of these rights, please write to [email protected]. We will respond within 21 days.
9. Data Security
We take reasonable technical and organisational measures to protect personal data from unauthorised access, loss, or disclosure. These include access controls on internal systems, encrypted email for sensitive correspondence, and regular review of our data handling practices.
In the event of a data breach that poses a risk to your rights, we will notify you and the relevant authority promptly in accordance with our obligations under Malaysian law.
10. Third-Party Links
Our website may include links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies independently.
